Job Summary
The Executive Assistant provides administrative and advisory support to executive leadership by proactively managing schedules, communication, meeting logistics, and travel arrangements. This role ensures executives can focus on their highest-priority tasks by handling sensitive, time-critical activities with professionalism and discretion. The ideal candidate will possess high emotional intelligence, attention to detail, and the ability to anticipate needs and streamline operations, while ensuring confidentiality and pro-actively protecting proprietary information gained through the duties and responsibilities of this role.
Duties and Responsibilities
Executive Support:
- Organize and manage executive calendars, travel arrangements, conference calls, and meetings.
- Prepare executives for meetings by compiling materials, briefing documents, and participant information.
- Serve as a gatekeeper by answering and directing inquiries with professional etiquette.
Communication and Documentation:
- Draft, edit, and distribute written communications, reports, and presentations.
- Ensure all communication reflects professional standards and advanced grammar.
Project Management:
- Lead complex projects, ensuring they meet deadlines and adhere to budgetary constraints.
- Collaborate with team members and other executive coordinators to improve workflows and processes.
Travel and Expense Management:
- Coordinate travel logistics, including transportation, accommodation, and itineraries.
- Process expense reports, invoices, and team budgets.
Office Management:
- Greet and direct visitors, ensuring a welcoming and professional environment.
- Uphold confidentiality and secure proprietary information.
Problem Solving and Leadership:
- Anticipate needs, prioritize tasks, and resolve conflicts using sound judgment.
- Maintain a composed demeanor in high-pressure situations while guiding executives effectively.
Qualifications
Education and Experience:
- Associates degree required; Bachelors degree preferred.
- Minimum 5 years experience in an administrative or executive coordination role.
- Prior experience developing digital presentations.
- Mac experience a plus.
Technical Skills:
- Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Basic accounting and financial management skills.
- Working knowledge of Sharepoint.
