We are seeking a Legal Assistant, Aircraft Financing and Maintenance to join our team of professionals in Montreal. The successful candidate supports the General Counsel –Aircraft Financing and Maintenance and other paralegals and lawyers on a variety of matters related to the purchasing, sale, leasing and financing of aircraft, engines and components and maintenance and other agreements related to such assets. The ideal candidate will be a team player with attention to detail and meticulous work standards, excellent organizational skills, able to prioritize and multitask, and have exemplary interpersonal skills.Responsibilities:
As part of the responsibilities for this position, the legal assistant will:Provide accurate document preparation support by revising, editing, formatting and proofreading a variety of documents, including complex agreements, highly confidential correspondence, memoranda and agreements. Preparing final, execution versions of agreements.Update presentations, letters, internal tools and other documents as neededOpen, organize and maintain files and documents, including precedent agreements and control documents for the Aircraft Financing and Maintenance TeamReviewing correspondence from clients and preparation of “to do” list and follow up with the team and other internal stakeholders and outside parties re sameReview and monitor status of files and assist with follow-upCopying, printing and scanning legal agreementsEntering Deadlines in Outlook and key dates in Onit and saving documents in imanageCoordinate and liaise with internal and external parties as instructed by counselRegister security interests and conduct searches in the International Registry, PPSA registers and Register of Personal and Moveable Real RightsMaintaining CLE trackingOrganize and schedule meetings, seminars and conferences for the team as required;Process invoices, expense claims, and make travel arrangements.
QualificationsThe selected candidate may not necessarily have experience to perform all tasks and will receive hands on training from our capable team.Full proficiency, written and spoken, in English is essential to the position.
To succeed in the position, the candidate should have a track record demonstrating the following qualities or characteristics:Minimum of 5 years of legal secretarial work experience, preferably in a corporate or law firm setting;Excellent legal secretarial and clerical skills;Excellent organizational and administrative skills with the ability to manage multiple tasks and prioritize deadlines;Strong understanding of legal terminology;Effective communication and interpersonal skills to collaborate with internal stakeholders;Excellent attention to detail and accuracy in document preparation and review;Ability to work collaboratively as part of a team and to develop strong professional working relationships;Inclination to take initiative and be proactive and to offer to assist and support co-workers,Ability to work without immediate and constant supervision;Ability to work under pressure with speed and accuracy and establish priorities;Demonstrate a high degree of tact, discretion and good judgment in recognizing scope of authority and in protecting confidential information;Desire to take on new initiatives, to learn and adapt to new types of work and to changing requirements;A desire and ability to continuously expand and update professional knowledge and hone training skills in order to enhance individual and team innovation and productivity;Proficient computer skills using Microsoft Office (Word, Outlook, PowerPoint, Excel), Adobe, iManage, Litera and other software primarily designed for legal departments;A passion for learning and gaining a deep understanding of the business to support strategies and objectives more effectively.Demonstrate punctuality and dependability to support overall team success in a fast-paced environment.
